IBB Reports is an Excel add-in and service that reads Microsoft Dynamics 365 Business Central (BC) data on your behalf and returns it to your spreadsheet. This policy explains what we access and how we handle it.
What we access
The IBB Reports service reads Business Central through the Business Central API with IBB Reports' own
Microsoft Entra application (a service-to-service sign-in), not as the user who runs a report. What it can read is
set by the permission sets your BC administrator grants that application in Business Central: Microsoft's
D365 READ and the connector's own IBB Reports set, both read-only. Your license key
decides which Business Central environment a request reads.
Some reports also need the IBB Reports connector, an extension your BC administrator installs in Business Central. It adds read-only API pages for G/L budgets, G/L entries by dimension, and open customer and vendor ledger entries (used by the AR and AP aging reports). When installed, it adds IBB Reports' application to Business Central's Microsoft Entra Applications list, assigns it the two permission sets above once your administrator grants consent, and adds a setup step to Business Central's checklist. It does not change your business data.
What is read depends on the report or formula you run. It can include companies; G/L accounts, account
categories and entries; dimensions and budgets; customers and vendors with their open ledger entries, including
details from the customer or vendor card such as name, phone number and contact; custom fields that your own
Business Central extensions add to customer and vendor ledger entries and to the customer and vendor cards, except
fields the extension's publisher marked as personal or system data; and any other standard Business Central API
data that an IBB.* formula asks for. The IBB Reports service never creates, changes or deletes
records in your Business Central.
What we store
- Audit records of each request (timestamp, the user's UPN, the action, row counts, latency, and a hash of the query), for security and compliance. We do not store the BC records returned.
- Account/subscription data: your tenant id and plan tier.
Data is held in Microsoft Azure (encrypted in transit and at rest). Secrets are stored only in Azure Key Vault. We do not sell, rent, or share your data, and we do not use it to train any model.
Authentication
Sign-in uses Microsoft Entra ID. We never see or store your password. Access tokens are used transiently to call Business Central and are not logged.
Data retention & deletion
Audit and account data are retained for the life of your subscription. On request or account closure we delete your tenant's data. Contact us to request export or deletion.
